FIELDGUIDE 04 // ARCHIVING & NOTEKEEPING

Turn clips into observations

Five hundred unlabelled MP4 files on a memory card quickly become digital clutter. A five-minute routine after swapping cards lets you discard empty wind triggers, rename meaningful visits, and log patterns across seasons.

FILE NAMING & TRIAGE WORKFLOW

Keep only what teaches you something

Use an ISO-date filename format that sorts chronologically in any folder view without special software: YYYY-MM-DD_HHMM_zone_species_action.mp4. For example, 2026-11-03_2214_logpile_hedgehog_foraging.mp4 tells you the exact night, hour, station, visitor, and behaviour before you even open the video player.

Date & UTC Time Station Zone Species & Count What Clip Directly Shows Reasonable Field Note
2026-04-12 // 05:48 Hawthorn Perch #1 Wren (Troglodytes troglodytes), 1 Carrying damp moss strand in bill, pauses 4s, flies into ivy wall. Active nest lining underway in east wall ivy; avoid pruning until August.
2026-06-19 // 22:55 South Hedge Gap Hedgehog, 2 (1 large, 1 smaller) Single-file passage moving east to west within 18 seconds of each other. Corridor remains clear; grass left uncut along fence base is heavily used.
2026-09-28 // 01:15 Pond Shallows Red Fox (Vulpes vulpes), 1 Drinks for 22 seconds, left hind leg held slightly off wet gravel. Minor pad sensitivity on left hind foot; gait otherwise brisk when exiting.
2026-12-04 // 11:10 Apple Tree Stump Fieldfare (Turdus pilaris), 3 Feeding on halved windfall Bramley apples during hard ground frost. Winter thrushes arrive locally once pasture soil freezes below 0°C.
CITIZEN SCIENCE & LOCAL SHARING

When your private notebook helps wider conservation

Even if you never upload a single video clip to social media, your dated species counts can support biological recording schemes such as the British Trust for Ornithology (BTO) Garden BirdWatch, your county mammal group, or national hedgehog mapping projects.

Zero-Presence Weeks Count Too

Log the weeks when a camera runs continuously with fresh batteries and records zero hedgehogs or amphibians. Knowing when an animal stops visiting is just as informative for local hibernation and migration timing as the first spring sighting.

Protect Sensitive Roosts

If your camera records a scarce species such as a barn owl, pine marten, or badger sett entrance near your boundary, omit exact street coordinates when sharing notes publicly. Use 1km or 10km OS grid squares instead.
